Why It Matters
Teams that call across regions face a simple problem: the rep's clock is not the prospect's clock. A team in Manila calling Sydney, London and Toronto in the same morning needs every lead to be offered at a sensible local hour, every time, without the rep doing the maths.
Set Windows in the Contact's Local Time
A calling window is the range of local hours when a contact may be called, for example 9:00 am to 5:00 pm on weekdays. In Call Caddie you set windows per campaign, and they are always applied in the contact's own time zone, not the rep's.
Get the Time Zone Right
- Use the most specific location you have. A state or city is better than a country.
- Countries such as Australia, the United States and Canada span several zones.
- Some zones are offset by half an hour, such as South Australia and the Northern Territory.
- Daylight saving starts and ends on different dates in different countries, and some regions do not observe it at all.
Call Caddie works from time zone names rather than fixed offsets, so daylight saving changes are handled automatically.
Make Attempt Rules Fair
Attempt rules decide how many times a contact is called and how far apart. Good rules spread attempts across different times of day and different days, and stop when the limit is reached. Rules run in local time too, so "try again tomorrow morning" means the contact's morning.
Booking Across Time Zones
When a meeting is booked, show both times on the call screen: the prospect's local time and the time for whoever runs the meeting. Read the time back to the prospect in their own time zone, and send the invite from the calendar so it appears correctly for everyone.
Tip: keep a confirmation step for bookings that cross time zones, so the rep confirms the local time aloud before the invite is sent.
Respect Preferences and Suppression
Calling windows are one part of respectful calling. Do-not-call lists, contact preferences and local calling rules always take priority, across every campaign and channel.
